Best optometry marketing: website, booking & call answering“Read the smallest line.” That is the call that rang out.

The best optometry marketing only pays when the patient who searches “eye doctor near me” lands on a page that books the exam. We build the website, the local search, online booking for each kind of visit, one place where every inquiry lands, an instant reply to each one and an AI phone line for the calls the desk cannot take while the doors are closed, as one system for your practice.

Start small: the AI voice agent plan from $449 a month, Local Ranking Accelerator from $99 a month, or a website we design and build free, then $99 a month for hosting and care.Your first consultation is free. We will tell you what would help most.

What an optometry practice needs

Six things that fill the exam schedule. Pick what you need.

Your team is with patients all day. These are the six things optometrists ask us for most, in plain words. Most start with one or two, and every one works on its own.

  1. “Everyone is with a patient when the phone rings, and it goes to voicemail.”

Four closed doors. One ringing phone.

An eye exam happens behind a door. So does a fitting, and so does the work at the machines. At 3:10 on a Thursday your practice is four people with four patients, and the phone is a fifth thing nobody has a hand free for.

  1. Pre-testTechHead against the visual field machine. Four minutes of not moving.
  2. Exam laneDoctorHalfway through a dilated exam. Door closed.
  3. OpticalOpticianForty minutes into a progressive fitting, pliers in hand.
  4. Front deskDeskOne card, one frame, one question at the counter.

The people on the other end are not few. More than 80% of adults use some form of vision correction, and over 60% get their exams at an independent practice. The number to watch is the last one: in the third quarter of 2024, 40% of contact lens purchases were made online, and a website never puts anyone on hold.

Sources: Vision Council, Consumer inSights Q4 2025 (12,129 U.S. adults) and Q3 2024 (12,014 U.S. adults).

The Signature System for optometry practices

Your website, Google listings, call answering, exam booking and reviews, put together for your practice and looked after by our team. Not sure what you need? We scope the right mix with you on a free call and tell you exactly what it costs.

Line 3 20/70 The exam

“I need an eye exam.” Four visits that sound like one.

A routine exam, a first contact lens fitting, a visit for a red eye and a child’s exam do not take the same time, the same doctor or the same room. Your desk knows the difference. The caller does not, and should not have to. So the line asks three plain questions in order and offers only the slots you have set for that visit.

Four visit types, what the caller says, what the line asks and what you set
VisitThe caller saysThe line asksYou set
Routine exam“I need new glasses.” “It’s been a while.”New or returning, glasses or contacts, and the plan.Length, which doctor, which room.
Contact lens fitting“I want to try contacts.”First time or a change, and whether they wear any now.Longer slot, the trial-lens routine, the fee.
Medical eye visit“My eye is red and itchy.” “My diabetes check.”What the caller describes, in their words. Never a grade.Which openings a medical visit may use, and the health plan.
A child’s exam“The school sent a note.”The child’s age and a parent’s number.The doctor who sees children, and the slot length.
Your practice

Hi Priya, you’re booked with Dr. Chen on Thursday at 4:10 for an eye exam. Bring your current glasses and any contact lens boxes, and sunglasses in case you are dilated. Reply C to request a change. Reply STOP to stop texts.

The text that keeps the appointment

Send this confirmation only after the agreed calendar contains the appointment. It names the doctor and time, gives your approved preparation instructions and offers a way to request a change. The replacement appointment needs its own confirmation.

If no suitable slot is available, send the request status instead: “We have your eye-exam request. Reception will contact you to arrange a time. Your appointment is not booked yet.” Your practice approves the wording, recipient and contact permission.

Optometry website design.
Help the patient choose the right next step.

The Quiet Protocol builds affordable websites for independent optometrists and eye care practices. Your doctors, locations, exam services and booking route should be easy to find on a phone. We write and design the site, maintain it, and can connect a separately scoped appointment-request process.

Your exam services, doctors and locations.

We plan the pages around routine exams, contact lenses and children’s visits, plus your doctors and locations. We write from your approved details, including who each visit is for, payment information and how to contact the practice about urgent concerns.

A patient can read the right service page and request the right visit. We keep contact lens reorders and existing-appointment questions on a separate staff-contact path in a connected build.

A request your front desk can use.

For an appointment-request build, we agree the visit type, preferred location, new or returning patient status and callback details. We test where that request arrives and who confirms it. Direct scheduling in your practice software is separately scoped after checking access and appointment rules.

The Essential Website starts with free design and build, then $99 USD a month for hosting and care. It includes up to 10 pages and a basic contact form. Connected booking is separate work. Plan the website around your exam schedule.

Six ways a patient reaches you. One inbox.

A patient does not pick one door. They search for an eye doctor, open your site, fill in the form for a contact lens reorder, text the number or call between meetings. We connect the agreed channels to a usable desk record. Each route should make the next step clear: an exam confirmed, a booking link sent or a request waiting for reception. A reply alone does not fill the calendar.

  1. Searches “eye doctor near me”Your site explains the exam choices and gives the patient your approved booking link or appointment-request route.
  2. Fills in the exam form on a lunch breakThe agreed form captures the visit request and source. The reply offers your booking link or explains that reception will confirm.
  3. Calls at 5:52 after the desk has closed the booksThe AI receptionist collects the agreed details, then uses the permitted calendar, sends a booking link or records a request for your desk.
  4. Is down to the last pair of contactsThe reorder request lands in the inbox tagged with the lens brand, for your desk.
  5. Books a family of threeRecords each family member’s visit needs, then offers permitted appointments or asks your desk to coordinate the group.
  6. Texts to move Thursday’s appointmentThe change request reaches reception. Your team checks the original appointment and confirms the replacement before treating the change as complete.

The morning list should tell reception what still needs doing.

Exam confirmed
The appointment type, patient, location, practitioner and time match the agreed calendar. A family enquiry keeps each person's visit separate; adjacent slots are offered only when the schedule allows them.
Desk action needed
A contact-lens reorder, glasses collection question, request to change a visit or no suitable slot. Keep the requested action and callback details visible. A request is not a filled order or a changed appointment.
Clinical contact needed
The patient's own description goes to the practice's approved clinical contact route. The receptionist does not grade urgency, diagnose the problem or quietly put an urgent concern into a routine exam slot.

For calls, the summary reaches your team by text and the summary with transcript arrives at your nominated admin email. Recording is included; your practice approves access and the recording wording. Existing practice-software booking and order updates are separately verified and scoped.

Bring a routine exam, a family request and a reorder to your demo. TQP will show where each one lands, who receives it and which action remains with your desk.

Red or green? Which is clearer?

A live answering service can offer intake and scheduling too. Compare how each provider handles these five calls, then inspect the record your desk receives. TQP is the best fit when you want a team to configure and maintain the AI phone service around your practice, while you keep your practice software.

Five optometry calls to check before choosing an answering service
The callWhat to check before buyingWhat TQP sets up
An exam request after closingCan the provider use your permitted visit types and schedule, or does the desk need to confirm? Ask to see the appointment record. We configure the questions, allowed slots on the included calendar or booking link, and the staff-review route. Direct practice-software scheduling has separate scope.
A contact-lens reorderWhere does the request go, and who checks the prescription and places the order? A phone answer alone is not a filled reorder. We capture the caller's request and contact details for your desk. Your authorized team checks the prescription, stock and order.
A seller's prescription-check callCan the service record when the call arrived, preserve the message and notify your designated staff? Agree who monitors that destination. We test the agreed receiving route with your desk. The summary, transcript and recording support staff review; the AI does not approve or reject a prescription.
A glasses collection questionCan it actually read your order status, or does it take a request for the optician? Have that distinction written into the scope. The enquiry goes to your optical team with the caller's details. The standard phone plan does not confirm that glasses are ready by reading your order system.
A caller needs your teamWho takes over, during which hours, and what happens if the transfer is unanswered? Check this with the person who will receive it.Your approved practice contact or callback route. Your team handles clinical questions; the AI plan does not include TQP human reception staff.

Buy the coverage your desk will actually use.

Start with overflow or after-hours calls if your desk already works well. Keep a staffed path where you want a person throughout. Agree which visit types may be booked and which requests need your team. We set up the greeting, approved answers, receiving records and permitted booking path, then test them with you.

The AI plan starts at $449 USD a month with free setup and no contract. Compare included minutes, extra usage and custom connections alongside the monthly fee. See the plans and usage terms.

Bring your visit types and a blank desk message to the demo. Use fictional patient details. We will show an exam request, a reorder and a request for your optician, including what happens when no appointment is available.

How it works.

  1. Choose the first improvement

Bring your visit types, locations and current booking route to a free consultation. We scope the website, answering or connected appointment process you need, with a price and clear responsibilities. Keep the practice software that works for you.

  2. We build around your schedule

Your practice approves the doctors, visit lengths, new-patient rules and messages. We configure the agreed website and call paths, including where a request waits for your desk. Direct scheduling in your practice software needs verified access and its own scope.

  3. Check the patient and desk views

Try a routine exam, a contact-lens fitting and a change request. Check the patient message against the actual appointment record, then test a full calendar. Your desk should see who is booked, who needs a callback and who owns the next step before launch.

What optometrists ask us.

Short answers first. Ask us anything else on a call.

Who builds websites and appointment-request systems for independent optometrists?

The Quiet Protocol designs and maintains optometry websites, with clear routes for eye exams, contact lens appointments and existing-patient questions. Start with a website alone or add a scoped booking or appointment-request process. We can work around the practice software you already use: a supported booking link, a request for staff to confirm, or a tested direct connection where available. TQP handles the website and agreed setup; your practice controls visit types, availability and clinical instructions.

Can you rebuild our optometry website while keeping our domain and practice software?

Yes. TQP can rebuild the public website on your existing domain while your practice keeps its patient records and practice software. We review the current pages and booking routes before changing them, preserve useful URLs where possible and map replacements when an address must change. Your team approves doctor profiles, exam types, contact lens information and office details. Before launch, we check the mobile journey from an exam page to the correct booking link or staff-confirmed request.

How much does it cost to get started?

Your first consultation is free. After that you can start small: the AI voice agent plan from $449 a month with free setup (normally $1,495) and no contract, Local Ranking Accelerator from $99 a month, or an Essential Website we design and build free, then $99 a month for hosting and care. Larger projects are scoped with you on the call, and we tell you the cost before you commit. Prices are in US dollars.

Is the consultation really free?

Yes. You tell us how patients reach you today, we tell you what would help most and what it costs, and there is no obligation. You talk to the people who build the work, led by our founder.

What does an optometry practice need?

Most practices need six things: every call answered, a website patients book from, a page for the care you want to be known for, a strong Google profile, more five-star reviews and one place for every appointment request. Most start with one or two. We suggest what fits on the free consultation.

Can it book the right kind of visit?

Yes, within the calendar and visit rules you approve. We configure the included calendar, a booking-link route or a request for your desk to confirm. Direct scheduling in your practice software is separately checked and scoped. It never gives medical advice.

Can it tell a caller whether I take their plan?

Only from the list you approve, and it never confirms coverage. It says your team checks the plan before the visit.

AOA, vision exams and medical eye exams

Will callers know it is an AI?

Yes. The greeting says so in your wording. A caller can ask for a person at any time.

What happens when someone says something is wrong with their eyes?

If a caller describes something that sounds urgent, it tells them to call 911 or go to the emergency room and passes a note to your team. It never decides what is or is not serious.

AAO, detached or torn retina · CDC, stroke signs

What about HIPAA and patient privacy?

Patient calls, forms and texts carry health information. Our platform can be set up to support HIPAA, and before launch we write down where recordings, messages and forms are stored, who may open them and which agreements your practice needs, a business associate agreement among them. Compliance stays your practice's responsibility. In Canada the same talk covers federal and provincial privacy law.

Does it work with my practice software?

You do not need to replace your practice software to improve the website or answer calls. We first check whether it provides an online booking route and which appointment types it exposes. Otherwise, the request goes to your desk for confirmation. If direct scheduling is part of the project, we verify vendor access and test the location, doctor, visit type and change/cancellation path before launch. Clinical records stay in the practice system.

Do you work with practices in the United States and Canada?

Yes. We are a Toronto team working with optometry practices in both countries.

Do I need a new website?

Keep it if patients can find your exam services and reach the desk easily. If it needs replacing, the Essential Website includes free design and build for up to 10 pages, including separate exam and contact-lens information. Hosting, SSL and care cost $99 USD a month. Care includes one routine update batch per quarter for up to 2 existing pages, approximately 30 minutes of work, for supplied changes such as office hours, doctor details or photos. Unused batches do not roll over. Connected appointment requests, direct booking and extra pages are priced separately.

Is there a contract?

The AI voice agents have no contract, so you can cancel anytime. The Essential Website and Local Ranking Accelerator are month to month. Larger projects are agreed in writing before work begins.

The next patient searched at 9 PM. Make sure it is you.

Book a free consultation and tell us how patients reach you today. We will show you what we would switch on first and what it costs. You will talk to the people who build it, led by our founder, Vikram Roy.
