What an immigration firm needs

Six things that bring in the right clients. Pick what you need.

Your callers keep their own hours and their own languages. These are the six things immigration firms ask us for most, in plain words. Most start with one or two, and every one works on its own.

Your callers keep their own hours. Your phone has to keep all of them.

A sponsor in Manila takes her lunch break at 2 PM. That is 2 AM at your desk. A student in Delhi asks about a study permit before his classes start. A mother in Lagos types your number into her phone on the way to work.

None of them has chosen you yet. They searched, found a handful of firms and started at the top. When your line gives them an English voicemail, they do not leave a message. They write to three other firms before breakfast.

The ones who already live here ring at odd hours too: after a shift, after the children are in bed, the night a letter arrives. What they share is a first call that has to work in their language.

Your line answers all of them, at any hour, in the languages you choose, from $449 a month with free setup (normally $1,495).

A quiet law office reception at night: a desk phone with its screen lit, a green banker's lamp, an appointment book, and a wall of plain clocks behind.

Who is on the other end. In the United States, 21.7% of people aged five and over speak a language other than English at home (American Community Survey 2018 to 2022). In Canada, 8.3 million people, 23.0% of the population, are or have been immigrants, the largest share since Confederation, and 69.4% of recent immigrants did not report English or French as their mother tongue (Statistics Canada, 2021 Census).

Signature System

The Signature System for immigration firms

Your website, Google listings, call answering and consultation booking, put together for your firm and looked after by our team. Not sure what you need? We scope the right mix with you on a free call and tell you exactly what it costs.

Your front door says which languages you speak. Your phone should say it too.

Somebody in your firm chose the languages on the door. Choose the phone's just as carefully. Standard AI answering supports English, Spanish and French. TQP configures the greetings, questions and confirmations for the languages you need from that set. Additional languages need a feasibility check and written scope before they appear on your site.

Have someone your firm trusts test names, dates and the words your callers use for a matter. Then try a caller asking for a language outside the agreed set. Approve a short fallback that identifies the language and requests a callback where communication is possible. Do not promise a completed intake when the caller and the line cannot understand each other.

The call record should separate the language used on the call from the language needed for the consultation. Your firm assigns the lawyer or interpreter. The receptionist gathers the enquiry; it does not translate legal advice or decide eligibility. Plan your language and callback coverage.

Standard answering languages

  • HelloEnglish
  • HolaSpanish
  • BonjourFrench

Configured with your firm. Other languages are checked and scoped separately.

A message says “wants a visa.” A sheet says who, where, in which language and by what date.

TQP builds the intake around your firm: the language, the questions, the permitted consultation and the record your team receives. Live services can also offer intake and booking. The useful comparison is which work is configured, tested and looked after for you.

Read back the appointment before ending the call.

A date on a letter and a date in the calendar are different things. The intake keeps the caller's wording and flags the letter for your team; it does not calculate a filing deadline or decide eligibility.

The caller receives
The full consultation date, local time and time zone, meeting method, agreed fee and your approved preparation instructions. The language and contact channel match the caller's preference.
Your team receives
The language used, caller and prospective-client details, location, stated date on the letter and booking or callback status. The call summary is texted; the summary and transcript are emailed to your nominated admin address. Recording is included.
Check the call across two time zones.

Use a real future date when testing, including a week when one country changes its clocks and the other does not. Have your team check names, dates and the confirmation in each supported language. If a language or booking rule cannot be supported, the caller gets your agreed callback route.

Bring one consultation type and the languages you serve. We configure the intake and included calendar around them. A connection to your existing legal software is a separate, verified scope; conflict checks and matter acceptance remain with your firm.

Immigration law website design. Marked up the way we would mark it in red pen.

Most immigration sites are built to impress a colleague. The person reading yours is worried, may be reading in a second language and wants three things: that you take their kind of matter, what a consultation costs and that you are real.

Choose website and form languages separately from the phone languages. Agree which pages are translated, who at your firm approves the wording and where each language's enquiries go. Test the form, reply and consultation request in each agreed language. A multilingual phone line does not automatically include a translated website.

For example, a family-matter consultation request can record the preferred language, general matter type and safe callback method, then reach the coordinator responsible for that language. An employer enquiry can reach a separate business-immigration contact. The firm reviews conflicts, eligibility and whether to accept the matter before treating an enquiry as a client engagement.

  1. Your number at the very top, with the languages available on your intake line listed beside it.
  2. One page for each matter you take: family, work, study, visit, citizenship. Plain words first, the legal name lower down.
  3. What the first consultation costs, how long it is and whether it is by video. Nobody should have to call to find out.
  4. Your lawyers' names and licence details, so a wary reader can check you are real.
  5. No promises of approval, no “fast track”, no form that asks for a passport number.

Essential includes agency design, copy from your brief and a contact form, with free design and build; $99 a month covers hosting, SSL and care. Translated content, language-based routing and connected consultation booking are agreed separately. See the Essential Website, or a Smart Website wired to your phone and calendar.

The consultation page we plan with your firm
Start with the matter

Family, work or another area your firm handles. The page names the responsible lawyer and the jurisdiction they practise in, with the credentials you approve.

Make the appointment clear
Before requesting
Your consultation fee, duration, format and what the meeting includes. Keep consultation, representation and government fees distinct.
In the request
General matter type, preferred language, contact details and a safe way to reply. Sensitive documents go through your firm’s approved process.
After submitting
A receipt, the receiving team and the next step. A request is not a confirmed appointment or an accepted matter.
Check the same journey in each language

Switch language while reading a matter page. Check that it opens the matching page, then follow the request and reply. Confirm the fee, meeting format and date are consistent. Your firm approves translated legal wording and names who updates it when the underlying information changes.

We build the agreed pages and handoff, then review them with your team. Plan your firm’s website and language coverage.

Done-for-you immigration intake.
Built around the matters your firm accepts.

  1. Choose the matters you want to hear about

Bring your consultation types, jurisdictions, languages and current intake form. We map the first questions for the person seeking advice, a family member calling for them and an employer asking about a worker. Your firm decides what reaches a consultation, what needs staff review and what belongs elsewhere.

  2. We build the intake your team will receive

TQP configures the approved questions, language wording, consultation calendar or booking link, confirmation and receiving record. Keep the caller's country separate from the jurisdiction of the legal matter. Keep a date stated on a letter in the caller's words for your team to review. Your firm approves fees, preparation instructions and translated legal wording.

  3. Your staff checks it before callers use it

Try a new consultation, a family member arranging a meeting and an existing client's case-status call. Check names, language, time zones, appointment status and the email your intake team receives. A case-status request reaches the existing-client contact you approve; it does not become another sales consultation. TQP corrects the agreed path before you approve launch.

You receive the configured enquiry path, the approved questions and messages, and a clear record of the booking and staff-review rules. After launch, send us changes to consultation availability, fees or language coverage so we can maintain the agreed setup. Legal advice, conflict decisions and matter acceptance remain with your firm.

Start with one consultation path. Keep your existing case-management software; direct connections, extra languages and wider website work are checked and priced in the written scope. Plan one immigration intake path with us. The first consultation is free, and we tell you what we will build before you commit.

Questions immigration firms ask us.

Straight answers. If yours isn't here, ask us on a call.

How much does it cost to get started?

Your first consultation is free. After that you can start small: an AI voice agent from $449 a month with free setup (normally $1,495) and no contract, Local Ranking Accelerator from $99 a month, or an Essential Website we design and build free, then $99 a month for hosting and care. Larger projects are scoped with you on the call, and we tell you the cost before you commit. Prices are in US dollars.

Is the consultation really free?

Yes. You tell us how clients reach you today, we tell you what would help most and what it costs, and there is no obligation. You talk to the people who build the work, led by our founder.

What does an immigration firm need?

Most immigration firms need six things: every call answered in the languages you serve, a website that gets the call, a page for the matters you want more of, a strong Google profile, more five-star reviews where your bar allows and one place for every inquiry. Most start with one or two. We suggest what fits on the free consultation.

Is this an immigration answering service?

It does what an answering service does: your phone answered across time zones and languages. Then it writes the call up and books the consultation. It works for your firm only.

Which languages can it answer in?

The standard AI answering plans support English, Spanish and French. TQP configures and tests the languages your firm needs from that set. Other languages require a separate feasibility check and written scope before we offer them. Your team checks names, dates, matter descriptions and the callback wording before launch; legal advice and interpretation remain with the people your firm appoints.

Will it tell a caller whether they qualify?

Never. It does not give legal advice or say whether anyone qualifies. It says an attorney will decide and books the consultation.

Does it work for a consultancy as well as a law firm?

Yes. The same calls and forms reach a consultancy. We set up the wording and the rules for the services you actually offer, and your own regulator's rules have the last word.

Will callers know they are talking to AI?

Yes. The greeting says so in wording your attorneys approve. A caller can ask for a person at any time.

Does it work with the professional rules where we practise?

We set it up around the rules on prospective clients, confidentiality, supervision and advertising, and your state's rules or your provincial law society's code have the last word.

Do I need a new website?

Not always. If your site is dated or does not bring in the right inquiries, an Essential Website is the simplest start: we design and build it free, then $99 a month for hosting and care. The Essential Website already includes up to 10 pages, which can include your main services. Booking, connected intake, larger custom builds and extra pages are scoped separately.

Is there a contract?

The AI voice agents have no contract, so you can cancel anytime. The Essential Website and Local Ranking Accelerator are month to month. Larger projects are agreed in writing before work begins.

Somewhere it is already midday, and someone is dialing your number.

Book a free consultation and tell us how clients reach you today. We will show you what we would switch on first and what it costs. You will talk to the people who build it, led by our founder, Vikram Roy.
