Best physical therapy marketing: website, booking & intake“Every table is taken.” The phone still rings.
The best physical therapy marketing pays when a patient with a surgeon’s script or a bad knee finds you, books the evaluation and gets a confirmation before they call the next clinic. We build the website that books, the local search, online booking, one place where every referral and inquiry lands, an instant reply to each one and an AI phone line for the calls your front desk cannot take, as one system for your clinic.
Start small: the AI voice agent plan from $449 a month, Local Ranking Accelerator from $99 a month, or a website we design and build free, then $99 a month for hosting and care.Your first consultation is free. We will tell you what would help most.
Referral calls picked up while you treat.

- Therapist, bay 1 A knee replaced last spring. One-on-one, nine minutes to go.
- Therapist, evaluation room A first visit. The door is closed for the hour.
- Aide, the gym Watching three people on the treadmill, the bars and the mat.
- Front desk Checking out a patient. One copay, one form, one question.
- You, in the office Charting. Four notes behind.
- The front-desk phone Sixth ring. A spouse: “My surgeon said to call by tonight. I had my knee done Tuesday.”
If it rings outThe discharge sheet lists two more clinics. She dials the next one.
If the line answersThe first visit is booked for Friday at 10:00. The surgery date and the surgeon’s name are on the sheet. The forms are texted.
What a physical therapy clinic needs
Six things that fill the evaluation calendar. Pick what you need.
Your therapists are hands-on from the first appointment to the last. These are the six things physical therapy owners ask us for most, in plain words. Most start with one or two, and every one works on its own.

Book a free consultationA full floor is a good day. It is also a silent phone.
Physical therapy is one-on-one work. Your therapists are hands-on from the first appointment to the last, the aide is with three people on the machines and the front desk is checking one patient out while the next waits. Nobody is free to answer the phone. Nobody should be.
Medicare counts timed treatment as the therapist’s direct, one-on-one time with the patient, in 15-minute units. A ringing phone is not that time. So the call goes to voicemail, and the person who dialed has a list of other clinics in their hand.

Bay 1 · The surgeon’s script
The surgeon signed a slip. Now she needs a first visit.
A knee replacement, a rotator cuff repair, a fracture out of its cast: the surgeon sends people to therapy with a slip of paper and a list of clinics. They do not shop around. They call down the list until somebody gives them a time.
The slip does not start the clock. In APTA’s 2025 consumer survey, 28% of people who had considered physical therapy already held a referral and had not started.
Waiting costs you. At the sports clinic behind the 10% figure, across those 6,971 first evaluations, each extra day between booking and the visit raised the odds of a no-show by about 6%. We make the next step clear while the caller is still on the phone: an allowed assessment slot, your booking link or a request for your desk to review.
Sources: APTA, Consumer Perceptions 2025 (online survey of 1,199 people, May 2025) and Physical Therapy, 2021 (odds ratio 1.058 per day waited).

Three ways a script reaches you
In the patient’s hand
The patient phones you, or a spouse does, straight from the surgeon’s list of clinics.
The line: The line collects the referral details your clinic approves, then offers your allowed assessment-booking route or sends a review request to reception.
Sent to your desk
The surgeon’s office faxes or sends the script. Your desk phones the patient.
The line: This one stays with your team. The line does not read faxes or referral portals. If that patient rings back at night, it follows your approved booking or reception-review route.
The surgeon’s coordinator phones
“Do you have anything for a shoulder repair this week?”
The line: The line records the referring office and requested timing, offers only the booking route you allow, and passes the paperwork question to your desk.
We set this up for you. Book a call and we start from your week.
Physiotherapy website design.
Keep the practice software. Improve the way patients reach it.
The Quiet Protocol builds and maintains websites for independent physiotherapy and physical therapy clinics in Canada and the United States. We explain your services, therapists, fees and first visit, then guide the patient to the right assessment request or booking page.
If you use Jane or Cliniko, your practice system can remain the place for appointments and clinical records. A website booking button is a useful first step. Custom intake, reminders and an AI receptionist are additional jobs to scope around your clinic.
Three patient journeys to check on your own phone.
Clear service pages, therapist profiles, fees and first-visit information come first. Then test the buttons. These are the routes we agree with your front desk when website booking is part of the project.
First assessment: the right visit at the right clinic
Start on a service page. Follow its assessment button and check the location, appointment type and eligible practitioners. If that visit has no available time, the page needs a clear reception contact or clinic-approved next step. It must not quietly offer a different visit.
What should reach the desk: the booking in your approved calendar, or a clearly labelled request awaiting confirmation. Your clinical forms stay in the practice system.
Returning patient: book again or change a visit
Find follow-up booking without completing a new-patient enquiry. Check the intended practitioner and location. For a change or cancellation, use the practice system's supported route and confirm its notice rules. A message asking for a change is not a changed appointment.
Try a cancellation before launch. Make a test appointment with fictional details, request a change and check the original calendar. Confirm that the old reminder will no longer go out and that the patient receives the correct new time or a message that reception must respond. Choose which system sends reminders so two systems do not send conflicting instructions.
Then check the empty slot. Your practice decides which visit type and practitioner can use it. A waitlist invitation offers an opening; only a confirmed booking fills it. Use the practice system's supported settings, including patient contact preferences, and have reception check the result.
For example, Jane documents optional waitlist notifications with eligibility and plan requirements. We check your actual setup before including this work. Connecting your website or answering line does not automatically turn those features on.
Show us one cancellation and rebooking path. We will scope the handoff around your existing calendar, with your desk approving what patients receive.
Referral or funding question: reach a person
Give the visitor a visible reception route when the answer depends on a referral, insurer or funding programme. Ask only for the contact details and information your clinic approves. A general website form should not become a substitute for your clinical intake.
What should reach the desk: a question with a named recipient and callback details, without promising coverage or eligibility.
Where your practice software supports it, use a booking link for the right location, practitioner or appointment type. Cliniko documents these filtered links; we check the available options in your actual system before choosing the route.

For a simple site, the Essential Website has free agency design and build, then $99 USD a month for hosting and care. Booking setup and connected patient journeys are scoped separately. See our physiotherapy website design, then show us your current site and booking page.
Six ways a patient reaches you. One inbox.
A patient does not pick one door. A surgeon hands them a script, they search, open your site, submit the form, text the number or call from the parking lot. We connect the agreed call, form and message routes so your desk can see what needs a reply. Referral paperwork stays in the route your team already uses unless a separate connection has been verified.
- Searches “physical therapist near me”Your map listing and site come up, with the evaluation calendar on the page.
- Has a surgeon’s script and fills in your formIn a connected intake build, the approved form reaches your receiving inbox with the referring office noted. The acknowledgement gives the booking or review step your clinic has agreed.
- Calls while every therapist is with a patientThe AI receptionist answers, asks the approved referral questions and offers the allowed booking route or records a request for reception.
- A physician’s office sends a referralYour desk receives the paperwork through its existing route and prepares it. The phone line does not read faxes or referral portals.
- Asks to cancel at 1:40Use the supported change link or send the request to reception. Check that the appointment changed before offering the slot to someone else.
- Comes without a scriptThe page explains your referral requirements. Questions about eligibility reach your desk before a visit is confirmed.
What your front desk opens in the morning is one list: who reached out, from where, what was said, what was booked and what needs a person.
A first assessment and a follow-up need different doors.
We set the website and phone instructions around the appointment types your clinic actually offers. Your desk approves the route before it reaches a patient.
| The enquiry | The next step | What staff need |
|---|---|---|
| New assessment | Offer the approved assessment booking link or included calendar. | New-patient status, contact preference and appointment requested or confirmed. |
| Returning patient | Use the existing-patient booking route or pass a change request to reception. | Who is calling, the appointment they mean and what they want changed. |
| Referral or funding question | Send the question to the nominated staff member for review. | The question and callback details, without promising coverage or eligibility. |
The AI receptionist plan includes summary texts, emailed summaries and transcripts, and call recording. We agree the clinic's approved questions, recipients, recording notice and record handling before launch. Clinical questions go to your team; detailed clinical intake stays in your approved practice system.
Jane or Cliniko can remain your booking and records system. Sending its approved booking link is different from writing an appointment into it; direct connections are checked and quoted separately. Show us your assessment and follow-up paths in a clinic demo.
Who picks up when every therapist is hands-on?
A staffed service can take intake details and schedule visits too. The useful comparison is what happens to the patient and the record. TQP sets up your AI answering around the visit types, booking routes and staff decisions your clinic actually uses.
| Moment | What to check | Our Essential AI receptionist |
|---|---|---|
| A first visit after surgery | Does the caller get an appropriate assessment path, with the referring office and requested timing recorded? | The AI collects your approved referral details and offers the booking route your clinic allows. If staff must review the referral first, it records the request for reception. |
| A new patient without a referral | Whose rules decide the next step? Test a question about eligibility or insurance coverage. | Your clinic supplies the referral wording. The AI shares that wording and captures the enquiry; eligibility, coverage and clinical questions go to your team. |
| The surgeon's coordinator calls | Can reception distinguish a referral enquiry from paperwork received and an appointment confirmed? | We configure the referring-office details and next action your desk needs. The phone line does not read faxes or referral portals. Your team handles those records through its existing process. |
| A same-day cancellation | Does the existing appointment actually change, or has someone only sent a message? | The AI sends your supported change link or a request to reception. The slot is available again only after the calendar has changed; a direct practice-system connection needs its own checks. |
| The calendar is full | Try an evaluation request with no allowed opening and a patient who needs a person. | The AI captures the preferred time and follows your callback or staff-transfer rules. It does not create an appointment outside the availability you approved. |
Show us the assessment your desk would book.
Bring your visit types, a blank reception note and the booking software you use. We will walk through an allowed first assessment and a request that needs review, then inspect what reception receives. Your clinical records stay in your practice system.

Who can build a physiotherapy website that works with Jane or Cliniko?
The Quiet Protocol builds clinic websites around the booking software you already use. For Jane, we can use your published booking link or Book Online button; Cliniko offers a hosted booking page and an embeddable form. We check the route to the correct location, practitioner and assessment type on a phone. Your clinical records stay in the practice system. Direct AI booking or custom data exchange is separately assessed and tested, rather than assumed from a website booking link.
What do you test before a physiotherapy website goes live?
We follow the patient journey on a phone: choose a clinic, find the right therapist, understand the first assessment and reach the correct booking option. We test a new assessment separately from a returning-patient visit, including what happens when no suitable time is available. Your team approves therapist details, services and first-visit instructions. Booking stays in Jane, Cliniko or your existing supported system; an appointment request must be clearly labelled when staff still need to confirm it.
How much does it cost to get started?
Your first consultation is free. After that you can start small: the AI voice agent plan from $449 a month with free setup (normally $1,495) and no contract, Local Ranking Accelerator from $99 a month, or an Essential Website we design and build free, then $99 a month for hosting and care. Larger projects are scoped with you on the call, and we tell you the cost before you commit. Prices are in US dollars.
Is the consultation really free?
Yes. You tell us how patients reach you today, we tell you what would help most and what it costs, and there is no obligation. You talk to the people who build the work, led by our founder.
What does a physical therapy clinic need?
Most practices need six things: every call answered, a website patients book from, a page for the care you want to be known for, a strong Google profile, more five-star reviews and one place for every appointment request. Most start with one or two. We suggest what fits on the free consultation.
Can it tell a caller whether they need a referral?
It answers from the rules you give it and never gives medical or insurance advice. The AI offers your approved booking route or records a request for reception. Your team resolves referral, eligibility and coverage questions before a visit is confirmed when review is required.
Will callers know it is an AI?
Yes. The greeting says so in your wording. A caller can ask for a person at any time.
What if a caller describes something serious?
If a caller describes something that sounds like an emergency, it tells them to call 911 and passes a note to your team. It never decides what is or is not serious.
What about HIPAA and patient privacy?
Patient calls, forms and texts carry health information. Our platform can be set up to support HIPAA, and before launch we write down where recordings, messages and forms are stored, who may open them and which agreements your practice needs, a business associate agreement among them. Compliance stays your practice's responsibility. In Canada the same talk covers federal and provincial privacy law.
Does it work with my scheduling software?
For Jane, a website can use the clinic’s booking link or Book Online button. Cliniko provides a hosted booking page and an embeddable booking form. We check your account’s enabled practitioners, locations and appointment types before choosing the route. A booking link or embed is different from an AI agent writing appointments into that system; direct AI booking needs separate access, compatibility and acceptance checks. Your existing clinical records stay in your practice system.
Booking options: Jane’s website button guide and Cliniko’s booking embed guide. The connection is scoped separately from an Essential Website.
Do you replace my front desk?
No. Your front desk keeps every conversation that needs a person. The phone line answers, writes down and books, so your team starts the day with a list of what happened.
Do you work with clinics in the United States and Canada?
Yes. We are a Toronto team working with physical therapy clinics in both countries.
Do I need a new website?
Keep your booking platform’s website if patients can find therapists, understand the first visit and reach the right booking page on a phone. For an agency-built replacement, the Essential Website includes up to 10 pages with free design and build, then $99 USD a month for hosting, SSL and care. That includes one routine update batch per quarter for up to 2 existing pages, approximately 30 minutes of work for supplied changes such as therapist details or clinic hours. Unused batches do not roll over. Booking setup, extra pages and custom patient journeys are scoped separately; your practice software can stay.
Is there a contract?
The AI voice agents have no contract, so you can cancel anytime. The Essential Website and Local Ranking Accelerator are month to month. Larger projects are agreed in writing before work begins.
