A week has 168 hours. Your intake desk covers 40.

Nine to five, Monday to Friday, is 40 hours. Crashes don't keep them. They happen on the drive home, on Friday night and on the highway on a long weekend. The injured person calls from the shoulder, from the ER waiting room, or at 2 AM when the pain won't let them sleep.

They have your number because you paid for it: the ad they tapped, the billboard, the TV spot. If the call rings out, the search results are still on their screen, and the next firm is one tap away.

Your intake line answers all 168 hours, from $449 a month with free setup (normally $1,495). See what it hands your attorneys.

A message says call back. A memo says who, what and when.

Here is the same Saturday-night call, handed over two ways. A message-taking service gives you a callback to make on Monday. In this example, your intake line records the conflict names and books the consultation your firm permits. A review-first matter goes to your team before a time is confirmed.

Three ways firms cover the phone after hours. If you want a person to sign retainers at 2 AM, an intake center does that and we don't. If you want calls answered, your approved questions asked and the right booking or staff-review path followed, that is what we build.

Signature System

The Signature System for personal injury firms

Your website, Google listings, intake, consultation booking and reviews, put together for your firm and looked after by our team. Not sure what you need? We scope the right mix with you on a free call and tell you exactly what it costs.

Your professional rules, applied to the phone.

An intake line talks to prospective clients on your behalf, so the rules that govern your firm govern it too. These are the ABA Model Rules that touch intake most, what each means for a phone line, and how we set yours up around it.

The ruleWhat it saysWhat it means on the phoneHow we set it up
Rule 1.18, prospective clientsWhat a prospect tells you is protected even if you never take the case, and hearing too much can keep you off the other side.Collect only what the firm needs to decide. Conflict names first. The script is short on purpose. The full story waits for the attorney.
Rule 1.6, confidentialityClient information stays confidential. The ABA extends the same care to prospective clients.Call recordings and transcripts are client information. Before launch we show you where recordings and transcripts are kept and who can open them.
Rule 5.3, nonlawyer assistancePartners must make reasonable efforts so a nonlawyer's conduct fits the lawyer's obligations. The intake line is your nonlawyer assistant. You supervise it.You approve every line before launch, and we review calls with you every month.
Rule 7.1, communicationsNo false or misleading statements about the lawyer or the lawyer's services. No “you have a case”, no promised results, no invented fee terms.Your fee line and firm description are read word for word from what you approved.
Rule 7.3, solicitationLive person-to-person solicitation of someone known to need legal services is prohibited, with narrow exceptions. It answers people who called you. It never calls anyone who didn't.Texts go only to people who contacted you and agreed to receive them.
Formal Opinion 512, AI toolsThe ABA's first opinion on generative AI (July 2024): competence, confidentiality, communication and fees all apply. You should understand the tool you put on your phone line.We explain in writing what it does, what it never does and how it is tested.

These are the ABA Model Rules. The rules adopted in your state, or your provincial law society's code in Canada, are the ones that bind you, and they differ. This sheet is a starting point for your ethics counsel, not legal advice.

Where injury calls come from, and the number that matters.

Injury firm marketing agencies sell calls: Google Ads, Local Services Ads, map rankings, TV and billboards. The good ones report cost per signed case, because a click only counts once a retainer is signed. We don't run your ads. We make sure the calls you pay for get answered, screened and booked.

Where the call comes fromWhat the caller expectsWhat wins it
Google Ads and Local Services AdsSomeone to pick up now. They tapped call on a phone. An answer on the first ring, day or night. You paid for the tap.
TV, radio and billboardsThe number they remembered to answer the way the ad sounded.A greeting in your firm's voice, and the same answer at 2 AM as at 2 PM.
Maps searchA firm near them that is open.Honest hours on your profile, then a line that actually answers during them and after.
Medical providers and past clientsTo be expected. Someone they trust gave them your name. The referral source recorded on every call, so you know who sends cases.
Your website at nightA number or a form that leads to a real reply. The same intake line, and a form that reaches it instead of an inbox.

Your cost per signed case, on one sheet.

Choose the enquiries first received in one period, then follow that same group through intake and signing. Count one prospective matter once, even if someone calls, submits a form and calls again. Keep existing clients, spam and vendors out of the acquisition count.

Record the source and review date. Match spend to that source and enquiry period, with your cost allocation and any lead credits noted. Do not divide this month's advertising by every case signed this month: some of those clients may have first contacted you much earlier.

Keep pending decisions visible and update the same sheet later. If no cases have signed yet, write “no signed cases yet”, not a zero acquisition cost. A booked consultation is not a signed case, and a signed case is not a fee already collected.

Use the call log separately to check missed new-case calls and whether your team reached them. A referral and a paid lead need different cost attribution; neither should disappear from the enquiry record.

Bring your enquiry stages and the report you use today. We will map the fields, owners and next actions for an agreed intake build. Keep case acceptance and financial outcomes in the system your firm trusts.

Planning what a signed case is worth? Use your fee, not the settlement, and keep attorney hours separate from intake hours. The free Revenue Leak Diagnostic does the arithmetic that way.

The enquiries beyond paid lead services

Someone searches “car accident lawyer near me” and calls one of the first firms on the map. Set your primary category to Personal injury attorney, list each case type as a service, keep your hours honest and post real photos of your attorneys and office. Local Ranking Accelerator keeps your profile and listings right every month, $99 a month. Run the free Google check to see where you stand.

And the website?

An injured person should be able to recognize the case types you handle and reach your team without writing their whole story into a public form. See the page-to-intake plan below. The Essential Website includes free agency design and build.$99 a month covers hosting, SSL and care. A Smart Website connected to intake is from $2,395 setup + $197/month.

Personal injury website design: from the case page to the intake team.

A dog-bite enquiry and a commercial-truck collision need different explanations. TQP builds the pages around the matters your firm takes, with your attorneys, jurisdictions and approved next steps. The website earns the conversation; your firm decides whether to accept the matter.

  1. The case page answers the first questions. Say who the firm helps, what the first consultation involves, how fees are explained and who will respond. Use the firm's approved wording. Give the reader a phone number and a short request route.
  2. The first request stays short. Agree contact details, a permitted reply channel, case category, event date and location, and the names your team needs for initial conflict review. Keep medical records, detailed narratives and document uploads in the firm's later approved process.
  3. The intake team gets a next action. Preserve the originating page and submitted details, the requested consultation and the person responsible for review. If the firm already uses an intake form or scheduler, start with that approved route; any direct case-system connection is separately checked and scoped.

What the confirmation needs to settle

Has the request arrived, or is an appointment actually confirmed? Which team responds, through which channel? Use the firm's approved notice about representation and information handling. Do not let a generic “You're all set” leave the prospective client guessing.

Before launch, test a case you take, one outside your scope and a repeat enquiry from the same person. Your intake lead checks what arrives; your lawyer approves the questions and notices. We build the website and the agreed connections, then test those paths with your team.

Download the injury-firm website and intake checklist. Bring one case type and your current intake route to a free call.

Your intake rules.
Our team puts them to work.

  1. Your intake lead sets the decision points

Bring the case types and jurisdictions you accept, the questions permitted before conflict review, and who takes an after-hours handoff. We map which calls may reach a calendar and which must wait for a person. Your lawyers decide conflicts, deadlines and whether to accept a matter.

  2. TQP configures the line and receiving record

We build the approved greeting, intake fields, notification recipients and booking route. We check how your current phone provider forwards calls, so coverage can start with evenings or overflow where supported. Your case-management system stays; writing into it requires a separately verified connection.

  3. Your team checks it before the first caller

Use fictional details for a permitted consultation, a review-first enquiry, an existing-client call and an unanswered transfer. Read the summary and transcript email, check the receiving calendar and confirm who follows up. Agree the fallback before forwarding live calls. No real case file is needed to review the setup.

Buy an installed intake line, with the tools around it.

The Essential AI receptionist is $449 USD a month, including 600 call minutes and free standard setup. The active plan includes an Essential Website and the AI Business OS: CRM, shared inbox and booking calendar. Your firm approves the public copy and what the intake record may contain.

A legal-software connection or a larger custom workflow is quoted separately. Keep the tools your team already trusts; the included website does not require a migration. Your plan includes the voice minutes listed and normal texting and email for your business. Third-party carrier and registration fees are billed separately at cost. Need more minutes? Add a prepaid top-up pack or move up a plan.

Show us one intake path in a personalized demo. Bring the rules, the receiving person's role and your current software names. We will agree what TQP configures and what remains with your team before you commit.

Questions injury firms ask us.

Straight answers. If yours isn't here, ask us on a call.

How much does it cost to get started?

Your first consultation is free. After that you can start small: an AI voice agent for intake from $449 a month with free setup (normally $1,495) and no contract, Local Ranking Accelerator from $99 a month, or an Essential Website we design and build free, then $99 a month for hosting, SSL and care. Larger projects are scoped with you on the call, and we tell you the cost before you commit. Prices are in US dollars.

What does a personal injury firm need?

Most injury firms need six things: every call answered, a website that gets the call, a page for the case types you want more of, a strong Google profile, more five-star reviews and one place for every inquiry. Most start with one or two. We suggest what fits on the free consultation. We never write results or guarantees, and your firm stays responsible for its own advertising compliance.

Is the consultation really free?

Yes. You tell us how cases reach your firm today, we tell you what would help most and what it costs, and there is no obligation. You talk to the people who build the work, led by our founder.

Is this a legal answering service?

It does what a legal answering service does: your phone answered day and night. Then it does the intake itself. It asks your approved questions, collects names for your team's conflict check and sends the intake memo. Your firm decides which enquiries can book on the included calendar, receive a booking link or wait for staff review. Existing legal-software scheduling is separately verified. TQP configures and tests the path; a consultation is not acceptance of the matter.

Will it give legal advice or tell someone they have a case?

Never. It doesn't say whether someone has a case, what it is worth or how long they have to file. It says an attorney will decide and call them. Those limits are part of the setup, not a setting someone can change.

How does it handle conflict checks?

It asks who else was involved before it asks what happened, and puts those names at the top of the memo. Your team runs the check. Keeping the first call short also limits what the firm hears from a prospect it may not be able to represent.

Can it take calls in Spanish?

Yes. Injury firms often need Spanish at 2 AM as much as English, so we build and test the intake in each language you serve before launch. Calls run on native speech-to-speech models, GPT Realtime from OpenAI and Gemini from Google, which hear the caller and answer aloud directly rather than passing text back and forth.

Will callers know they're talking to AI?

Yes. The caller hears at the start that this is the firm's AI intake line, in wording your attorneys approve. A frightened caller who wants a human can ask for one at any point. Our live AI line lets you hear it before you decide.

Can it connect to our case management or intake software?

Sometimes. Case management and intake tools differ in what they let an outside system write, so we check yours, and what your vendor allows, before we promise a connection. Without one, the intake memo and the consult time still reach your team by the route we agree during setup.

Is an AI intake line allowed under the ethics rules?

Bars treat it like any assistant you supervise: you stay responsible for what it says and for protecting what callers tell it. The ABA's Formal Opinion 512 covers lawyers' use of AI tools. We set the line up around the Model Rules on prospective clients, confidentiality, supervision, advertising and solicitation, and your state's rules or your provincial law society's code have the last word.

Do I need a new website?

Not always. If your site is dated or does not bring in inquiries, an Essential Website is the simplest start: we design and build it free, then $99 a month for hosting, SSL and care. A custom site with a page for each case type is scoped with you on the consultation.

Is there a contract?

The AI voice agents have no contract, so you can cancel anytime. The Essential Website and Local Ranking Accelerator are month to month. Larger projects are agreed in writing before work begins. Our team is in Toronto, and we work with injury firms in both countries.

Let's make you the firm that answers first.

Book a free consultation and tell us how cases reach your firm today. We will show you what we would switch on first and what it costs. You will talk to the people who build it, led by our founder, Vikram Roy.
