Best HVAC marketing & answering serviceThe coldest night is your best sales night. Answer it.
HVAC marketing comes down to two jobs: be the company people find when the furnace quits, and pick up when they call. We do both, so a no-heat call at 6 a.m. becomes a booked visit.
Start small: an AI voice agent from $449 a month, Local Ranking Accelerator from $99 a month, or a website we design and build free, then $99 a month for hosting and care.
Your first consultation is free. We will tell you what would help most.
- Caller
“My furnace quit overnight and it's freezing in here.”
- Your agent
“I'm sorry, let's get you taken care of. First, do you smell gas, or is a carbon monoxide alarm going off?”
- Caller
“No, nothing like that. Just no heat.”
- Your agent
“Good. Is anyone at home very young, elderly or unwell? And what's the address?”

You're under a house or on a roof most of the day. These are the six things HVAC owners ask us for most, in plain words. Most start with one or two, and every one works on its own.

Signature System
The Signature System for HVAC companies
Your website, Google listings, call answering, service booking and reviews, put together for your company and looked after by our team. Not sure what you need? We scope the right mix with you on a free call and tell you exactly what it costs.
The website behind the call
A cold house and a planned replacement
need different pages.
TQP designs HVAC websites around the jobs you want. We write from your approved information, build the pages and look after the site. The homeowner should know whether you do the work, serve their address and can take the next step.
- Repair now
- Your actual coverage hours, service area, approved callout fee and a prominent phone number. After-hours wording must match who really answers. A request is not a promised truck arrival.
- Replace a system
- The equipment you install, the differences a homeowner can understand, what affects the price and what the assessment covers. Publish only approved financing and warranty terms. Let the visitor request an estimate.
- Plan a tune-up
- What the visit includes, which equipment you service and whether the next step is a request or a confirmed appointment. Keep maintenance-plan terms separate from an ordinary service visit.
Before launch: try three homeowner journeys
On a phone, try an after-hours repair, a replacement estimate and an address outside your area. Check the number, the destination of each enquiry and the message the homeowner sees. If booking is in scope, test an unavailable time too. Your office signs off the result.
An Essential Website includes up to 10 pages, with free design and build, then $99 USD a month for hosting and care. Booking, intake connections and custom work are scoped separately. Bring your current site and service list; we will recommend what to keep and what to build.
Choosing the content: what homeowners need to compare before they call.
The no-heat call: seven questions, in this order.
Whoever answers, a person or your AI voice agent, should ask the same questions every time. Safety first, then who is at risk, then the system, then the address. Use this as your own script, or let your agent run it.
The agent asks them in your words and texts your team a service-request summary. Urgent requests follow your approved on-call route. Your dispatcher confirms a visit unless an approved booking action completes it. Book a free consultation and we will show you.
Do you smell gas, or is a carbon monoxide alarm sounding?
If yes, the caller is told to get outside to fresh air and call 911, and your team is alerted at once. The public safety guidance is to get outside and call 911.
Is anyone in the home elderly, very young or unwell?
Tells you who goes to the top of the list on a −20 night.
What is the system: furnace, heat pump, boiler? Any error or blinking light?
Your technician arrives knowing which truck stock to check.
What's the address, and is there a good number to reach you?
Captured once, confirmed back to the caller and included in the service-request summary.
Is it dark and cold right now, or can it wait until morning?
Separates a true emergency from a next-day booking, by the rule you set.
Are you the homeowner, a tenant or a property manager?
Decides who approves the work and who pays.
Is there anything else we should know before the technician comes?
Pets, gate codes, parking, stairs. Saves a second phone call.
Safety guidance: U.S. Consumer Product Safety Commission, carbon monoxide. Your own safety rule always wins. Write it down and approve it before the agent takes a call.
Managed AI answering for HVAC.
Your dispatcher stays in charge.
The Quiet Protocol provides managed AI answering for HVAC companies in the United States and Canada. We are the best choice for a small crew that wants the call handling set up and looked after for them: your greeting, equipment questions, service area and on-call route, with a team responsible for the setup.
Keep your phone number and choose overflow, after-hours or all-day coverage. You approve the call behavior before forwarding customer calls. Your dispatcher keeps control of availability and which technician takes the job.
Essential is $449 USD a month with 600 call minutes, free setup and no contract. Request capture, summary messages and the included booking calendar give a small crew a practical starting point.
Keep your field-service software.
ServiceTitan, Jobber or Housecall Pro can remain your dispatch system. Start with a service-request summary your dispatcher can act on in that system. Direct job creation or scheduling is Custom work: we check supported access and test the receiving record before enabling it.
Give the dispatcher the useful details.
The summary needs the address, equipment, reported problem, access details and next action. A callback request is marked as a request. A confirmed booking needs an actual appointment in the approved calendar.
Test the cold-night fallback.
Try a fictional no-heat call when the on-call person cannot answer. Check the backup contact, summary and caller’s expectation. Then test a routine tune-up and an out-of-area request in your personalized demo.
Bring your dispatcher to the demo. Give us the hours you want covered, the equipment and areas you service, your approved callout wording and the backup contact. We configure the intake and handoff, then you check the request where your office will receive it. Book your HVAC answering demo.
The call ends. Your dispatcher has the next move.
An example routine-service handoff. Your office receives the summary by text and the summary with the transcript by email. Call recording is included in both plans.
- What the caller needs
- A furnace tune-up, with the service address and callback number confirmed.
- What the agent answered
- Your approved service-area and maintenance questions. Equipment details are captured, without a diagnosis or an unapproved price.
- What actually happened
- A booking link was sent. The request remains open until an appointment is made or your office confirms the visit.
- What your office does next
- Checks the booking or calls back. A technician and arrival time are assigned through your dispatch process.
Ask us to demonstrate all three outcomes: a link sent, an appointment booked on the included calendar and a request waiting for dispatch. Your team should be able to tell them apart at a glance. See what comes with every answering plan.
Put the cold-night promise through a real test.
Run these calls against your configured demo. Check the message and the receiving calendar with your dispatcher, not only how the voice sounds.
“The furnace has stopped. Can someone come tonight?”
After hours; primary on-call contact does not answer.
Check the result: Capture the address, callback and reported equipment problem. Follow the approved backup route and tell the caller whether a callback or visit is confirmed.
Revise before launch if: The agent says a technician is coming without a confirmed dispatch.
“I want a tune-up, but only on Saturday.”
The approved calendar has no Saturday availability.
Check the result: Offer only an available approved slot, or send a request to the office with the preferred day. Keep the tune-up separate from the emergency queue.
Revise before launch if: A Saturday appointment is invented or an emergency slot is used without permission.
“I already called. The unit is still not working.”
An existing service request is present.
Check the result: Identify this as a repeat contact, confirm the callback and send the update to the assigned team. Test duplicate handling if a direct system connection is in scope.
Revise before launch if: The caller is treated as a new sale or an unverified repair status is announced.
Download all eight call tests (CSV). Add the observed result, the person checking it and the date. These are proposed tests, not customer call recordings or reported results.

Questions HVAC owners ask us.
Straight answers. If yours is not here, ask on a call.
How much does it cost to get started?
Your first consultation is free. After that you can start small: AI voice agents that answer every call start at $449 a month with 600 minutes of calls, free setup and no contract. Local Ranking Accelerator is $99 a month, or 82.50 a month billed yearly. Essential Website design and build are free; $99 a month covers hosting, SSL and care. Larger projects are scoped with you on the call, and we tell you the cost before you commit. Prices are in US dollars. Your plan includes the voice minutes listed and normal texting and email for your business. Third-party carrier and registration fees are billed separately at cost. Need more minutes? Add a prepaid top-up pack or move up a plan.
What does an HVAC company need?
Most HVAC companies need six things: every call answered, a website that gets the call, a page for the work you want more of, a strong Google profile, more five-star reviews and one place for every service request. Most start with one or two. We suggest what fits on the free consultation.
Is the consultation really free?
Yes. You tell us how calls and leads reach you today, we tell you what would help most and what it costs, and there is no obligation. You talk to the people who build the work, led by our founder.
How do I stop losing no-heat and no-cool calls?
Answer every call, at any hour, and ask the same few questions each time. A caller with no heat will call the next company on the list. An AI voice agent picks up, takes the address and the problem, and texts you the details. You decide what counts as an emergency.
Will the AI sound like a robot to someone with no heat?
Our voice agents run on speech-to-speech voice models from OpenAI and Google. It answers in real time and in a natural voice. Call the demo line at +1 855-916-4334 and play a customer with a dead furnace to judge it yourself.
Can it tell an emergency from a routine call?
It follows the urgency and safety wording your team approves, including when a caller should contact emergency services instead of waiting for an HVAC visit. Urgent service requests follow your on-call route. Routine calls can use the approved booking calendar or go to your office for confirmation. We test an unanswered transfer too: who receives the summary, which backup route is used and what the caller hears. Human handoff reaches your designated team; TQP does not supply a staffed emergency dispatch desk.
Does it work with ServiceTitan, Jobber or Housecall Pro?
Yes, we can scope a connection while you keep your existing field-service software. Standard plans answer calls, capture the service request, send summary texts and book on the included calendar. Direct job creation or scheduling inside ServiceTitan, Jobber or Housecall Pro is Custom work, subject to supported account access. We test the service area, time window, receiving record and duplicate handling before turning on that connection. A captured request stays a request until your dispatcher or the approved booking process confirms it.
Do I have to change my phone number?
No. You keep your number and forward calls to your agent. You can forward only after hours, only when you are busy, or all day.
How do I show up on Google Maps for furnace repair near me?
Start with a complete, accurate Google profile and a steady stream of recent reviews, then keep your name, address and phone the same everywhere. Local Ranking Accelerator does the listings and profile work for $99 a month, and you can start online. The checklist on this page is what we check first. Nobody can promise a ranking.
Do I need a new website?
Not always. Every AI voice agent plan already includes an Essential Website with hosting and SSL for as long as your plan is active. If you only need a website, we design and build it free, then $99 a month for hosting, SSL and care. The Essential Website already includes up to 10 pages, which can include your main services. Booking, connected intake, larger custom builds and extra pages are scoped separately.
Is there a contract?
The AI voice agents have no contract. Free setup, normally $1,495. No contract. Cancel anytime. The Essential Website and Local Ranking Accelerator are month to month. Larger projects are agreed in writing before work begins.
Does it work in Canada and the United States?
Yes. We serve HVAC companies in both countries, and the agent answers in English, Spanish or French. Prices are in US dollars.
